Active contents at file upload

If you want to transmit an order to the Federal Gazette or the Company register, you have the option to upload a file with the content of the publication for deposit in many sections. Please note that the Federal Gazette publisher has certain requirements for the files:

  1. Requirements for Word, Excel and RTF documents

    Electronic documents have to be readable, clearly composed and structured and have to be created by the use of the appropriate Office functions. Transmitted files are only allowed to contain contents which are meant to be published resp. deposited. Continuous texts have to be created with the appropriate text functions and tables with the table function. Horizontal and vertical assignments have to be distinct. Merged cells are to be avoided. In balance sheets, assets and liabilities should be arranged one below the other.

    The transmitted documents shall not include the following:

    • Integrated textfields

    • Active contents, e.g. macros, dynamic fields, linkage formulas amongst others

    • Hidden or in the Office view not visible contents, e.g. additional documents or sheets, compressed rows and colums in tables,

    • Write protection, document or password protection of any kind

    • Multi-column Word and RTF documents

    • Documents in modification mode or with open modifications

    • Content in header or footer

    • Scanned documents

    • Tables that were created with tabulator or space keys.

    • Tables with very complex continous texts

  2. Requirements regarding graphics and objects

    Graphics are defined as emblems, figures and images. They are not allowed to consist only of text. The following are assumed as graphics and objects:

    • Graphics and objects embedded into the publication text (MS Word, RTF, MS Excel documents and PDF).

    • File formats GIF, JPG and PNG.

    • Graphics in black-and-white or colour in the RGB space.

    • Emblems, figures and images which are optimized for display on screen.

    • Graphics and objects with the maximal pixelwidth of 500 pixels.

  3. Requirements regarding PDF documents

    PDF documents have to be clearly readable, copyable and printable. The document has to contain the whole text to be published resp. deposited and may not be sent combined with other file formats as electronic order.

    The following requirements apply:

    • Security options have to be deactivated.

    • Documents are not to be coded.

    • JavaScript is not allowed.

    • Forms are not allowed.

    • The document must be printable in DIN A4 portrait or landscape format and account for the following measurements:
      • Maximal height: 297 mm

      • Minimal height: 279.4 mm

      • Maximal width: 216 mm

      • Minimal width: 210 mm

    • Documents have to be limited to a maximum size of 25 MB.
    • For the transmission of several PDF files the maximum permitted total size is 100 MB per order.
  4. Requirements regarding XML/XBRL
    Create tables with the appropriate table function to guarantee readability. Tabulators or spaces are not to be used due to XML not being able to recognize them.
